How to Assign and Track Team Tasks Without a Dedicated Project Tool

Dedicated project management tools are powerful but often overkill for teams that need straightforward task tracking. A well-structured table in your existing workspace handles assignment, status, deadlines, and reporting without the learning curve or extra cost.

The Minimum Viable Task Table

You need five columns: Task name (text), Assigned to (text or dropdown), Due date (date), Status (dropdown), and Priority (dropdown). That's it. Every other feature — comments, attachments, sub-tasks — can be added when you actually need it. Starting lean means the table gets used.

Assign Work and Filter by Person

Using a consistent format for the 'Assigned to' column — ideally a dropdown with team member names — lets you filter instantly to see any individual's workload. A manager can check what's assigned to a team member in seconds, and the team member can filter to their own tasks without needing a personal view.

Weekly Review in Under Five Minutes

Filter to show tasks due this week, sort by priority, and switch to Kanban view to see what's in each stage. This gives you a complete weekly review view without any preparation. When the meeting is done, remove the filters and the table returns to the full team view.
