Building a register for field operations teams that actually gets used

Field operations generate a lot of data — visits, tasks, statuses, outcomes — but capturing it consistently is hard when the system does not match how field teams actually work.

Design around the field workflow, not the office view

The most common mistake is building a register optimised for managers reviewing data rather than field agents entering it. Start with the entry experience. Fewer fields, clear dropdowns, and mobile-friendly layouts drive higher completion rates.

Use status fields to replace verbal check-ins

When every record has a clear status — pending, in progress, completed, escalated — managers stop needing to ask for updates. The register becomes the single source of truth and removes a layer of coordination overhead.

Lock fields that should not change after submission

Field records often get backdated or corrected in ways that distort reporting. Using role-based permissions to restrict edits after a record reaches a certain status protects data integrity without adding bureaucracy.
